The Challenge

Previously, customers had to submit requests through our Support team to create scheduled outbound reports. The HRCore team would then fulfill these requests manually, a process that frequently took several weeks and consumed valuable resources. This manual bottleneck presented a clear opportunity for automation and self-service.

Our goal was to design and build a new, seamless scheduler. This new tool would empower customers to schedule their own outbound custom reports, tightly coupled via an API to a new, independent scheduling engine. This architectural approach ensured the scheduler would be readily available for integration across other ELMO products in the future.

Research & Strategy

To inform a consistent and user-centric design, I initiated the project by conducting stakeholder interviews, gathering extensive customer feedback, and analysing competitor solutions.

I meticulously analysed requirements, crafting detailed user stories and slicing them into manageable components. I then conducted a user story mapping workshop to collaboratively define our Minimum Viable Product (MVP) and strategic development roadmap.

Design & Prototyping

I developed a high-fidelity Figma prototype incorporating several key user flows. This allowed us to visualize how users would naturally navigate the process of scheduling a report and to identify potential areas for optimization.

Validation & Interation

The initial round of usability tests revealed that some user expectations were not fully met. Based on my observations and direct user feedback, I quickly iterated on the design, deciding to add a dedicated 'Scheduled' screen. This new screen provided users with a clear overview to view, add, and manage all their scheduled reports in one central location.

The second round of usability tests was an immediate success. We achieved a significantly high satisfaction rating, with users providing enthusiastic feedback such as "very easy to use," "I like the new flow," and a "4.5/5" rating. This confirmed the effectiveness of the iterative design process and the solution's ability to meet user needs.
